Creating, sending, and managing invoices
How do I create my first invoice?
Tap the + button on the Invoices tab, fill in your client's details and line items, then tap Send. Your invoice will be emailed directly to your client with a secure payment link.
Can I customize my invoice template?
Yes. Go to Settings → Invoice Template to add your logo, choose colors, set default payment terms, and customize the footer message. Changes apply to all future invoices.
How do I set up recurring invoices?
When creating or editing an invoice, tap "Make Recurring" and choose your schedule (weekly, monthly, quarterly, annually). The app will auto-generate and send invoices on schedule.
Can I accept online payments?
Yes. Invoice Manager integrates with Stripe to accept credit card and bank transfer payments. Go to Settings → Payments to connect your Stripe account. A processing fee applies to each transaction.
What invoice formats can I export?
Invoices can be exported as PDF, sent via email, or shared as a link. PDFs include all line items, taxes, and your company branding.

What's included in the free Starter plan?
The Starter plan includes up to 5 active invoices per month, client management, basic expense tracking, and PDF exports. No credit card required.
How do I upgrade to Pro or Pro Max?
Go to Settings → Subscription and tap the plan you want. Payment is processed through the App Store using your Apple ID. Your new features activate immediately.
Can I cancel my subscription anytime?
Yes. Cancel anytime through the App Store (Settings → [Your Name] → Subscriptions). Your access continues until the end of the current billing period.
How do I get a refund?
Refunds are handled by Apple through the App Store. Visit reportaproblem.apple.com and select the purchase. Apple typically processes refund requests within a few days.
Do you offer annual billing?
Yes — annual plans are available at a discounted rate compared to monthly billing. Switch to annual in Settings → Subscription.

Profile, security, and data management
How do I change my email address?
Go to Settings → Profile → Email. You will need to verify your new email address before the change takes effect.
How do I reset my password?
On the login screen, tap "Forgot Password" and enter your email. You'll receive a reset link within a few minutes. Check your spam folder if it doesn't arrive.
Can I use Invoice Manager on multiple devices?
Yes. Sign in with the same Apple ID on any iPhone or iPad. Your data syncs automatically via iCloud.
How do I export all my data?
Go to Settings → Data → Export All. You'll receive a ZIP file containing all your invoices, clients, and transactions in CSV and PDF format.
How do I delete my account?
Go to Settings → Account → Delete Account. We'll give you 30 days to download your data before permanent deletion. This action cannot be undone.
Expenses & Receipts
Tracking costs, scanning receipts, and mileage
How does the receipt scanner work?
Open the app, tap + → Scan Receipt, and point your camera at a receipt. Our AI reads the merchant name, date, and total automatically. Review and save in seconds.
How do I track mileage?
Go to the Mileage tab and tap Start Trip. The app uses GPS to track your route and automatically calculates the deductible amount based on the current IRS or CRA standard mileage rate.
Can I categorize expenses for tax purposes?
Yes. Each expense can be assigned a category (meals, travel, office supplies, etc.). At tax time, go to Reports → Expense Summary to see totals by category, ready for your accountant.
Can I connect my bank account or credit card?
Bank connection is available on Pro Max. Go to Settings → Connections → Add Bank Account. Transactions import automatically and are matched to existing expenses where possible.
Taxes
Tax calculations, compliance, and filing
Which countries does Invoice Manager support for taxes?
We support tax calculation for 15+ countries including the US, Canada (GST/HST/QST/PST), UK (VAT), EU member states, Australia (GST), and more. Tax rates are updated regularly.
How do I set up sales tax on my invoices?
Go to Settings → Tax → Add Tax Rate. Enter the tax name (e.g., HST), rate (e.g., 13%), and applicable region. Once saved, it appears as a line option when creating invoices.
Can Invoice Manager prepare my tax return?
Invoice Manager is a bookkeeping and invoicing tool — it organizes your income and expenses to make tax filing easier, but it does not file returns on your behalf. Export your data and share with a tax professional or use with tax software.
How do I generate a year-end financial summary?
Go to Reports → Annual Summary, select the year, and tap Export. You'll get a PDF with income, expenses, net profit, and tax collected — perfect for your accountant.
AI Assistant
Getting the most from your AI business assistant
What can the AI assistant do?
The AI assistant can answer questions about your business data, summarize cash flow, draft invoice follow-up emails, suggest expense categories, flag unusual transactions, and answer general business questions.
Is my data used to train AI models?
No. Your business data is never used to train external AI models. Queries to the AI are processed privately and are not retained beyond your session.
Which plan includes the AI assistant?
The AI assistant is available on Pro and Pro Max plans. Starter users can try it with a limited number of queries per month.
